MINUTES OF COMMITTEE MEETING No 109

1 Apologies for absence

2 Minutes of the WMC meeting 108 – Thursday 9th 2024
The minutes were agreed.
3 Matters arising from the minutes
3.1 (3.1) Work on railings refurbishment completed. Contacted A W Grace & Son Limited,
OX14 3DA in terms of refurbishment/replacement, no response as of yet. FP to chase.
3.2 (3.6) FP had written to resident re charging a car via a long lead. Discussions were had of where vehicles can be charged (Summertown). FP to follow up directly with the owner.
3.3 (3.5) No progress re new notice-board due to elections. WMC to chase up.
3.4 (3.8) Access to WMC webdoc and Chair gmail accounts – closed.
3.5 (3.9) A director to update Compendium of Decisions.
3.6 (3.11) No information yet to be received from Green Square. Discussion to include storing of bins as per transfer covenants. Printing of welcome to the waterways leaflet to be done 2024/2025 – ongoing.
3.7 (3.12) It was agreed to set up a ‘private house committee’ to assist with EV charging
on the estate. A number of Directors met the Waterside low carbon team.
3.8 As above.
4 Sub Committee reports
4.1 Apartment Blocks Sub Committee
Successful meeting took place on 20th June. RD requested details of members.
Thanks to directors who did so much work.
4.1.1 Lift modernisation documents sent to Treasurer with a view to arrange meeting with
Hemsworth. Next block for modernisation, possibly 108 – 126 Frenchay Road, funds
permitting.
Elderly residents in 1- 13 Stone Meadow, 115- 141 Frenchay Road and 30 – 47 Cox’s
Ground and 8 – 12 week closure of lift would seriously impact these residents.

4.1.2 Works scheduled for week commencing 29th July to refit 50/60 displaced tiles at 108 –
126 Frenchay Rd.
4.1.3 Supplier confirmed glass to be installed to canopy of 108-126 Frenchay Road on 17th
July. Supplier issues unfortunately caused delays.
4.1.4 FP to instruct surveyor to establish cause of cracks below balconies at EJW
prior to redecorations (Stone Meadow and x3 EJW).
4.1.5 Damaged soffits repaired at 115-141 Frenchay Road – closed.
4.2 Gardening Sub Committee
4.2.1 Stuart of Stuart’s Bikes will be removing remaining tagged bikes following bicycle
clearance.
4.2.2 Tree work – closed
4.2.3 Brickwork complete to the Stone Meadow pillar. Lantern repairs to be undertaken.
4.2.4 The surveyors report to resurface the driveways has been issued to WMC. It was
discussed that works should be in keeping with the estate and works would be
required to Coxs Ground. Meeting to be arrange with the newly formed ‘private house
committee’.
4.2.5 No funding for bridge painting. Details of who cleaned them before to be provided to
the director involved..
4.2.6 Gardening sub committee details to be given to FP.
4.2.7 Autumn walkabout date late September/early October to be confirmed. Pathway at the
rear of Frenchay Road to be looked at.
4.2.8 Fence posts have been removed and grounds trodden down to make way for new gate
by the end Stone Meadow house. FP to write to owner as no permission given to
remove fencing or hedges on WMC land.
4.2.9 Hedges are in place surrounding the lake and a secure gate to prevent fishing in the
lake. Residents to call 101 if they see anyone fishing.
5 Finance
5.1 Budget for 2024/2025 issued. FP to prioritise accounts to be drafted.
5.2 Required information sent to Treasurer for Asset Plan – ongoing.
6 Houses
6.1 Objections have been sent re the air source heat pumps seeking more information of
noise/appearance.
6.2 It was suggested some neighbours on Frenchay Road can assist with further
information of EV charges. WMC liaising with Waterside (4.3.1). Consent should be
requested before EV chargers are installed on WMC land.

6.3 FP to chase A W Grace & Son Limited, OX14 3DA in terms of refurbishment of railing
(3.1).
6.4 Surveyors report has been issued to WMC (4.2.4).
7 Feedback
Looking into sub committee emails to be set up.
8 Managing Agent
8.1 New FP systems – hopeful issues have been resolved.
FP advised in terms of late billing, should residents require assistance to contact FP
collections department to discuss account. Leases/Transfers require payments to be in
full in advance, however Collections team can review accounts on a case by case
basis and allow for direct debits.
9 WRACIC
9.1 The WRA website is now online and WMC documents have been added.
10 AGM 2024
AGM agreed Tuesday 5th November.
11 Any other business
11.1 (8.1) DH advised report had been received from Innovus re the cracks to 44-60
Frenchay Road and intrusive works are required to establish cause. It was agreed that
Innovus continue to arrange/project manage.
11.2 It was confirmed that Green Square Houses do not contribute to the estate.
11.3 Discussions were had following the request for an assistance dog in Clearwater Place
apartment block. This was agreed by WMC but it was requested that FP to issue a
letter to residents to notify them of the assistance dog.
11.4 The lift in 56-90 EJW was out of service due to impact damage, thought to be caused
by removals. FP confirmed that tenant details are held should owners notify of
subletting, but without evidence of damage being caused, it was not possible to pursue
repair costs from owners. However FP to check if change of tenancy detail for
assumed property are on file.
12 Dates of 2024 meetings
12th September, 14th November, 9th January at 6.00pm in the Community Room.
